• Referring URLs, pages visited, and time spent on pages

1.3 Course Activity Data

Course activity data is collected through the Thinkific platform, including:

• Course enrollment and progress tracking
• Quiz and assessment responses
• Completion status and CE certificate generation

1.4 Communications Data

Messages, support inquiries, and feedback submitted through contact forms or email are retained for service and quality purposes.

We use the information we collect for the following purposes:

• To create and manage your learner account on the Thinkific platform
• To process course enrollments and payments
• To issue CE completion certificates and track your progress
• To communicate with you about your courses, account status, policy changes, or promotional offers
• To comply with applicable law, resolve disputes, and enforce our agreements
• To improve our website, content, and services based on aggregate usage data
• To verify professional credentials where required by accreditation standards

3. Cookies and Tracking Technologies

We use cookies, pixel tags, and similar tracking technologies to enhance your experience. The types of cookies we use include:

• Essential cookies — Required for core site functionality and cannot be disabled.
• Analytics cookies — Used for aggregate, non-identifiable usage data (e.g., Google Analytics or similar tools).
• Preference cookies — Used to save your settings and personalize your experience.

The Thinkific platform may set its own cookies as part of its service delivery. You may adjust cookie settings in your browser; however, some features may not function correctly without essential cookies enabled. We do not sell data collected via cookies to third parties.

4. How We Share Your Information

4.1 Third-Party Service Providers

We share data with vendors necessary to operate our services, including Thinkific (platform host), payment processors (e.g., Stripe), and email service providers. All such vendors are bound by data processing agreements.

4.2 Accreditation Bodies

If CE Halo operates in partnership with accrediting organizations (e.g., AANA, ANCC, NCCPA, or state boards), we may share enrollment and completion data as required for CE verification purposes.

4.3 Legal Compliance

We may disclose information when required by law, subpoena, or to protect the rights and safety of CE Halo, its users, or the public.

4.4 Business Transfers

In the event of a merger, acquisition, or sale of assets, user data may be transferred as part of that transaction. Users will be notified in advance where required by law.

5. Data Retention

We retain personal data for as long as your account is active or as needed to provide services. Specific retention periods include:

• CE completion records are retained for a minimum of 7 years to support professional licensure verification.
• Payment records are retained as required by applicable tax and financial regulations.

You may request deletion of your account and associated data, subject to our legal retention obligations. See Section 6 for instructions on exercising your rights.

6. Your Privacy Rights

Depending on your state of residence, you may have the following rights with respect to your personal information:

• Right to Access: Request a copy of the personal information we hold about you.
• Right to Correction: Request correction of inaccurate or incomplete data.
• Right to Deletion: Request deletion of your personal data, subject to legal retention requirements.

6.1 California Residents (CCPA/CPRA)

California residents have the right to know what personal information is collected, the right to delete, the right to opt-out of sale (we do not sell data), and the right to non-discrimination for exercising these rights, as provided under the California Consumer Privacy Act and the California Privacy Rights Act.

6.2 Virginia, Colorado, and Other State Residents

7. Children's Privacy

Our services are intended solely for licensed healthcare professionals and adults aged 18 and older. We do not knowingly collect personal information from anyone under the age of 18. If we discover that a minor has provided information through our platform, we will promptly delete such information. Our services are not directed at children and are not subject to COPPA in the context of this platform.

8. Data Security

We implement administrative, technical, and physical safeguards to protect your information, including:

• SSL/TLS encryption for data in transit
• Secure data storage through Thinkific's infrastructure
• Access controls limiting who may view your information
• Periodic security reviews and assessments

No method of transmission over the internet is 100% secure. While we strive to protect your personal information, we cannot guarantee absolute security and encourage you to use strong, unique passwords and safeguard your account credentials.

9. Third-Party Links

Our website may contain links to third-party websites and resources. CE Halo is not responsible for the privacy practices of those sites and encourages you to review their individual privacy policies before providing any personal information.

10. Changes to This Policy

We may update this Privacy Policy periodically to reflect changes in our practices or applicable law. We will notify you of material changes by posting the updated policy on our website and, where appropriate, via email notification. Your continued use of our services following the posting of changes constitutes your acceptance of the revised policy.

Terms and Conditions

1. Eligibility

Our Services are available to licensed healthcare professionals including CRNAs, NPs, PAs, and RNs, as well as other qualified healthcare or pre-licensure professionals. You must be at least 18 years of age to use our Services.

By registering, you represent and warrant that you are a licensed or pre-licensed healthcare professional and that all information you provide is accurate, current, and complete. CE Halo reserves the right to verify credentials and to deny or revoke access if eligibility requirements are not met at any time.

2. User Accounts

You are responsible for maintaining the confidentiality of your account credentials, including your username and password. You may not share your account with any other person. Each learner must maintain a separate, individual account.

You are responsible for all activity that occurs under your account. If you suspect unauthorized access to your account, notify us immediately at [email protected]. CE Halo will not be liable for any losses resulting from unauthorized use of your account credentials.

3. Intellectual Property

All content on CE Halo's platform — including but not limited to course materials, videos, audio recordings, case studies, quizzes, assessments, slide decks, handouts, and written content — is the exclusive intellectual property of CE Halo or its licensed content providers and is protected by United States copyright law, trademark law, and international intellectual property treaties.

3.1 Limited License

You are granted a limited, non-exclusive, non-transferable, revocable license to access and view course content solely for your own personal professional development and CE completion purposes.

3.2 Prohibited Uses

You may NOT:

• Reproduce, copy, or download course materials in whole or in part
• Distribute, publicly display, or broadcast any course content
• Sell, sublicense, or otherwise transfer access to course content
• Create derivative works from CE Halo content
• Use any content for commercial purposes without express written permission from CE Halo

Unauthorized use of CE Halo's content constitutes copyright infringement and may subject you to civil and criminal penalties under 17 U.S.C. §501 et seq.

3.3 Trademarks

The CE Halo name, logo, and any associated marks are trademarks of CE Halo. Unauthorized use of CE Halo's trademarks is strictly prohibited.

4. CE Completion Requirements

To earn a CE certificate, you must:

• Complete all required course modules and assessments as specified within each course
• Achieve any minimum passing score specified for the course
• Comply with all time-on-task or activity completion requirements

Certificates are issued electronically through the Thinkific platform upon verified completion.

4.1 Verification of CE Acceptance

It is your sole responsibility to verify that CE Halo's courses are accepted by your licensing board or accrediting body prior to enrollment. CE Halo makes no guarantee that its courses will satisfy the requirements of any specific state board, specialty organization, or employer.

4.2 Attestation and Academic Integrity

CE Halo may require submission of attestation that the learner personally completed the course without unauthorized assistance. Fraudulent completion — including sharing accounts, having another person complete your course, or falsifying quiz responses — will result in:

• Immediate account termination
• Revocation of any issued certificate
• Potential reporting to the relevant licensing board or accrediting body

5. Payment Terms

• All fees are stated in U.S. dollars and are due at the time of purchase.
• CE Halo uses Thinkific and third-party payment processors (e.g., Stripe) to handle transactions. By providing payment information, you authorize CE Halo to charge the applicable fees.
• CE Halo reserves the right to modify pricing at any time, with changes applying prospectively only.
• Please refer to the Refund Policy (Policy 3 of this document) for complete refund terms.

6. Prohibited Conduct

You agree not to engage in any of the following conduct while using CE Halo's Services:

• Share account credentials or course access with any other person
• Attempt to circumvent, disable, or interfere with security features of the platform
• Scrape, harvest, or systematically extract content from the platform
• Upload or transmit malicious code, viruses, or other disruptive content
• Use CE Halo's content for commercial training, resale, or redistribution
• Impersonate any person or entity or misrepresent your professional credentials
• Engage in any conduct that violates applicable federal, state, or local law or regulation

7. Disclaimer of Warranties

CE Halo's services are provided on an "AS IS" and "AS AVAILABLE" basis without warranties of any kind, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement. We do not warrant that our services will be uninterrupted, error-free, or free of viruses or other harmful components.

8. Limitation of Liability

To the maximum extent permitted by applicable law, CE Halo, its officers, directors, employees, contractors, and affiliates shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of our Services, including but not limited to loss of earnings, professional opportunity, or CE credits.

CE Halo's total cumulative liability to you for any claims arising from your use of the Services shall not exceed the amount you paid to CE Halo in the twelve (12) months preceding the claim.

9. Indemnification

You agree to indemnify, defend, and hold harmless CE Halo and its affiliates, officers, employees, and agents from any claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising from: (a) your use of the Services; (b) your violation of these Terms; or (c) your infringement of any third-party rights.

10. Governing Law and Dispute Resolution

These Terms are governed by the laws of the State of New York, without regard to conflict of law principles. Any disputes arising from these Terms or the use of our Services shall first be subject to good-faith negotiation between the parties.

If unresolved within 30 days of written notice, disputes shall be submitted to binding arbitration in Buffalo, New York, administered under the American Arbitration Association (AAA) Consumer Arbitration Rules.

11. Termination

CE Halo reserves the right to suspend or terminate your access to the Services at any time, with or without cause, including for violations of these Terms. Upon termination, your right to access course content ceases immediately. Provisions regarding intellectual property, indemnification, limitation of liability, and governing law shall survive any termination.

12. Changes to Terms

We may update these Terms at any time. We will provide notice of material changes via email or a prominent website notice. Continued use of our Services after changes are posted constitutes your acceptance of the revised Terms.

Refund Policy

1. General Refund Window

You may request a full refund within 7 calendar days of your course purchase, provided you have NOT completed more than 20% of the course content. "Completion" for this purpose means no more than 20% of modules viewed, quizzes attempted, or assessments completed.

2. Non-Refundable Circumstances

The following purchases are NOT eligible for refund:

• Courses where a CE certificate has already been issued
• Purchases made more than 7 calendar days prior to the refund request
• Courses where more than 20% of content has been accessed or viewed
• Bundle or package purchases where any course within the bundle has been completed or certificated
• Promotional or discounted purchases clearly marked as non-refundable at the time of purchase
• Requests citing dissatisfaction with a course topic to which the learner had full access via preview modules prior to purchase

3. How to Request a Refund

To initiate a refund request, email [email protected] with the following information:

• Your full name and account email address
• The name of the course(s) for which a refund is requested
• Your order number or payment confirmation
• The reason for your refund request

CE Halo will review your request and respond within 5 business days. Approved refunds will be processed to the original payment method within 7–10 business days, depending on your bank or card issuer.

4. Technical Issues

If you experience a verified technical error that prevents access to or completion of a course (e.g., platform outage, content loading failure), CE Halo will work to resolve the issue promptly. Where resolution is not possible, CE Halo will provide a full refund regardless of the 20% content threshold.

5. Bundles and Subscriptions

5.1 Bundle Purchases

For bundle purchases, refunds are evaluated on a per-course basis. If only one course in a bundle is refund-eligible under Section 1, the refund will be prorated to reflect the individual value of that course within the bundle pricing structure.

5.2 Subscription Plans

Subscription plans (if applicable) may be cancelled at any time; however, partial-month refunds are not issued. Your subscription access will remain active through the end of the current billing period following cancellation.

6. CE Credit Reversals

If a refund is approved and processed, any CE certificate issued for the refunded course will be voided in CE Halo's system. It is your sole responsibility to notify your licensing board, employer, or any organization to which you have submitted the certificate if CE credit was previously reported or claimed.

7. Consumer Rights Notice

Nothing in this Refund Policy limits or waives any consumer rights you may have under applicable federal or state law, including the Federal Trade Commission's Mail, Internet, or Telephone Order Merchandise Rule or applicable state consumer protection statutes.

Medical and Continuing Education Disclaimer

The content provided by CE Halo — including but not limited to course materials, videos, articles, case studies, quizzes, handouts, and any other written or multimedia content — is intended for professional educational purposes ONLY and does NOT constitute medical advice, clinical guidance, diagnosis, treatment recommendations, or a substitute for the independent professional judgment of a licensed healthcare provider.

CE Halo's content does not create a patient-provider relationship between CE Halo, its instructors, or its content contributors and any learner or patient. Nothing on this platform should be construed as directing or recommending specific clinical actions for individual patients.

2. Clinical Practice Decisions Are Your Responsibility

Healthcare is an evolving science. Guidelines, drug dosages, treatment protocols, and best practices change frequently. Although CE Halo strives to ensure that all course content reflects current evidence-based practice at the time of publication, CE Halo does not warrant that information is current, complete, or applicable to any particular clinical situation.

All clinical decisions must be made by the licensed healthcare professional based on their individual training, the specific clinical context, and the most current evidence available. CE Halo expressly disclaims any liability arising from clinical decisions made in reliance on its educational content.

3. Professional Licensure and CE Verification

CE Halo's courses are designed to support the professional development of licensed healthcare professionals. Completion of a CE Halo course does not guarantee:

• Acceptance of CE credits by any particular state licensing board, specialty organization, or employer
• Renewal of any professional license or certification
• Compliance with any specific continuing education mandate or employer requirement

It is your sole responsibility to verify that CE Halo's offerings meet the requirements of your licensing body before enrolling. CE Halo is not responsible for any failure to obtain CE credit due to board-specific requirements or changes in accreditation standards. CE Halo will clearly disclose the accreditation status (if any) of each course at the point of purchase.

4. Accuracy of Course Content

CE Halo makes reasonable efforts to ensure its course content is accurate, peer-reviewed (where applicable), and evidence-based. However, healthcare information evolves rapidly. CE Halo expressly disclaims all warranties, express or implied, regarding the accuracy, completeness, or fitness for a particular purpose of any course content.

5. No Patient-Provider Relationship

Enrollment in CE Halo courses, communication with CE Halo instructors, or submission of course questions does NOT create a patient-provider relationship. No information communicated through the CE Halo platform should be used as a substitute for consultation with a qualified, licensed healthcare professional in a formal clinical care setting.

6. Instructor Credentials and Conflicts of Interest

CE Halo discloses instructor credentials and any relevant conflicts of interest within each course at the time of launch, in compliance with applicable accreditation standards. Learners are encouraged to review this information prior to and during course completion.

Instructor content represents the individual professional perspective of the instructor and does not necessarily reflect the official position of any professional organization, government agency, or employer.

7. Third-Party Content and Links

CE Halo may reference or link to third-party guidelines, publications, or websites for educational purposes. CE Halo does not endorse, control, or assume responsibility for the accuracy, completeness, or currency of third-party content. Learners should independently verify third-party information from primary, authoritative sources.

8. Limitation of Liability

To the maximum extent permitted by applicable law, CE Halo, its owners, instructors, employees, and content contributors shall not be liable for any direct, indirect, incidental, special, or consequential damages arising from:

• (a) Reliance on course content for clinical decision-making
• (b) Errors or omissions in educational materials
• (c) Failure to obtain CE credit from a licensing body
• (d) Any action or inaction taken as a result of information obtained through CE Halo's platform
